After the Application

On this page you will find information about the process after you have submitted your PROMOS application:

After your Application

  1. After receiving your application we will send you an e-mail confirmation which will include a date on which the selection results will be announced. We kindly ask you to refrain from asking about the status of your application before this date. We will notify you and ask you to hand in missing documents if your application should be incomplete.
  2. We will notify all applicants individually about the results of the application soon as the candidates have been chosen (the selection period takes around 6 weeks once the application period has ended). 
  3. Unfortunately, the application process ends at this point for candidates that have been rejected. If this should be the case for you, you can apply again in a future application round.

After receiving a scholarship

  1. In a confirmation mail, you will receive initial information about your sponsorship, Please read the information in this email carefully. They are fundamental to the rest of the scholarship process.
  2. After you have booked your travel, please send us a copy of your travel reservation or itinerary.
  3. Shortly before the start of your stay abroad, your scholarship agreement or scholarship award letter will be prepared and emailed to you by us. Together with your scholarship agreement or the notification, you may receive additional acceptance documents. Please sign and return the agreement or, if applicable, acceptance documents to us.
  4. After entry into your destination country, please send us a scan of your proof of entry (boarding passes, entry stamp, Registration of Immigration or similar).
  5. Payments will be made in the order of pending departures and shortly before each departure, provided that all necessary documents have been submitted by that time. The partial scholarship installments are paid monthly. In order to ensure a smooth disbursement process, a European bank account is recommended..
Attention: Please keep us updated about any changes that may occur during your stay abroad, especially any changes concerning the length and period of your stay.

If you receive additional funding from other agencies or from the German Auslands-BAföG for your stay abroad, you have to notify the responsible Auslands-BAföG office or the other funding agency of the PROMOS funding. Likewise, you have to notify the PROMOS office at the FU if you receive further funding from other institutions.

Note on insurance coverage

PROMOS funding does not include any insurance coverage. When planning your stay abroad, you should make sure that you have sufficient insurance coverage abroad (health, accident and liability insurance). If the host institution abroad does not offer insurance coverage and you are not covered by a family insurance policy that also applies in the destination country, you should take out the appropriate insurance yourself. Also make sure that pandemic cases and repatriation in case of illness or death are covered. This also applies if you go abroad without PROMOS funding.

Please register in the crisis precaution list of the Federal Foreign Office (electronic registration of Germans abroad - "Elefand") (https://krisenvorsorgeliste.diplo.de/signin). The local representations and embassies abroad can use this to quickly contact Germans in their district in case of crisis.
