FAQ Campuscard

The Campuscard system makes it possible to shift from the current paper-based student IDs to a multifunctional card. The system has been being introduced in a joint project by six higher education institutions in Berlin since early 2015.

What functions does the Campuscard have for students?

  • Freie Universität student ID with optional photo
  • Library card at Freie Universität, borrowing materials at Freie Universität libraries possible using integrated chip 
  • Anonymous dining hall card for the Berlin studierendenWERK, including electronic wallet for all payment functions that can be performed with the dining hall card
  • Use of lockers at Freie Universität
  • Separate validation of the term of validity of the student ID after re-registration

At the time when the cards were printed, the studierendenWERK student union was not yet able to provide us with their new logo.

The next batch of cards will come printed with the new logo and the new name, studierendenWERK.

Compared to paper IDs, the new Campuscard is:

  • more durable,
  • harder to counterfeit,
  • an integrated dining hall card and student ID in one, and
  • cheaper.

Freie Universität Berlin is a participating higher education institution in the Berlin Campuscard joint project. As part of this project, new student IDs are also being introduced in stages at Beuth Hochschule für Technik Berlin University of Applied Sciences, Charité, HTW Berlin, Humboldt-Universität zu Berlin, and the Berlin School of Economics and Law (HWR).

The “Berlin Campuscard” project is an alliance project initiated by Humboldt-Universität zu Berlin. One key goal is to develop a standardized technical infrastructure based on which each participating higher education institution/university can develop its own Campuscard. At Freie Universität Berlin, the Freie Universität Campuscard was developed on this basis. For more information, please see www.campuscard.berlin.

There are currently six higher education institutions participating in the alliance project at different phases. For more information, please see www.campuscard.berlin.

All students will receive the Campuscard during the 2017/18 winter semester.

How do I get my Campuscard?

You can obtain your Campuscard at one of five card issuance machines. You can find the machines at the following locations:

The machines are available whenever the buildings are open.

You can also find validation machines there. There are also two other validation machines, one in Lankwitz and one in Düppel.

Students receive a one-time QR code via the ZEDAT portal. This code is used to issue the Campuscard at the card issuance machine.

Once the machine has read the QR code, the student can decide whether to have the Campuscard printed with or without a photo. If you choose a card without a photo, you will always have to have a photo ID with you in order to use the semester ticket transit pass. It takes about two minutes to issue a Campuscard.

After that, the Campuscard has to be taken to the validation machine to apply the semester ticket transit pass and validity information. This process must take place each semester in order to validate the information on the Campuscard.

You can upload a photo for your Campuscard via the “Campuscard” menu item in the ZEDAT portal. You can select this photo and have it printed on the card during the process of generating your Campuscard at the issuance machine.

You can also take a picture of yourself right at the issuance machine. These photos are not saved, and they are used one time only, to generate your Campuscard.

You need your personal QR code to use the card issuance machine. You can get this code via your account in the ZEDAT portal, Student Records and Registration Office.

The QR code is displayed via a link. You can scan it at the card issuance machine on a smartphone or tablet. If you do not wish to use a mobile device, you can also print the letter and scan the code that way. You can use any computer pool at Freie Universität to do this.

Freie Universität operates seven validation machines, including one each at the Lankwitz and Düppel sites. To avoid peak times and the long waits they may cause, we recommend that you validate your Campuscard as soon as possible after payment of your semester fees has been received and your subsequent re-registration has taken place.

You do not have to pay anything for the first issuance of the Campuscard. The subsequent validation of semester validity and, where applicable, printing your semester ticket transit pass are also included in the re-registration fee or payment of the price for the semester ticket transit pass, respectively. The Campuscard is also reissued free of charge based on changes in personal characteristics (such as name changes). If your Campuscard is lost or stolen or is damaged through improper use/handling, you can request a replacement card. The fee for this is € 10.23.

No, the photo on the Campuscard is optional. When you have your card issued, you can choose a card without a photo. If you choose to use a card without a photo, though, you need to carry an official photo ID with you in order for it to be valid.

Your Campuscard must be validated after initial issuance and before the start of each semester (after the prerequisites for re-registration are met). Please take your card to the validation machine for this.

No. For data protection and privacy reasons, you can only use machines at Freie Universität with the QR code and the Campuscard.

Yes. You can use any machine within Freie Universität Berlin. If you study in Lankwitz, for example, but you live near the Dahlem campus, you can have your card issued and validated there.

Disability Access

All machines are designed according to ISO 18040 and can therefore be used by students with disabilities.

Is data security ensured?

The Campuscard does not contain any personal data of students in electronic form except the library number. The machines retrieve all of the personal information online, using a pseudonym, so no personal data are stored in the machines, either. The machine does not store photographs, and communications are encrypted.

No personal data aside from the library number are stored on the chip. The chip contains only an anonymous, but unique, card ID code. Use of the dining hall card is also anonymous.

Distance study programs/students abroad

Students who are enrolled in distance study programs or are studying abroad can access a QR code in the ZEDAT portal. They can use this code to have a Campuscard issued/validated at the machines if and when they are on site at Freie Universität. The certificate of enrollment and payment receipt are available remotely in the ZEDAT portal.

If you need a valid student ID for documentation purposes, you will need to validate your Campuscard on-site at one of the validation machines of Freie Universität berlin. If you are abroad, please use the certificate of enrollment available in the ZEDAT portal.

How will the transition from this semester to the next semester work?

If you already have a Campuscard, all you need to do is validate it again. The card can be validated as soon as your re-registration process is complete. You will be advised of this by e-mail, or you can check your current re-registration status in the portal at any time.

No. You can use the Campuscard, once issued, during the entirety of your studies at Freie Universität Berlin. All you need to do is re-validate the card once per semester.

How do I use the Campuscard at the dining halls?

The Campuscard replaces the previous dining hall card. If you already have a dining hall card, please return it the next time you visit a studierendenWerk Berlin dining hall.

The Campuscard replaces the previous studierendenWerk Berlin dining hall card entirely. You can load the Campuscard at the same dining hall card loading machines that are already familiar to you and at the dining hall registers operated by studierendenWerk Berlin.

No. You can still use the separate dining hall cards issued by studierendenWERK Berlin.

Students can have the credit balance transferred from their “old” dining hall card to the new Campuscard. When the “old” card is returned, you will also receive the deposit of € 1.55 back. This is possible at any dining hall or cafeteria register, and the process is very fast.

Important: If you have an “autoload” agreement for an “old” card (dining hall card is loaded via direct debit), you will need to enter into a new agreement for the Campuscard, which is like a new dining hall card. Each agreement is only valid for one specific dining hall card number and cannot be extended to others.

The Campuscard includes a fully functional studierendenWERK Berlin dining hall card. It can be used like a separate dining hall card. The anonymity of the information is ensured through technical and organizational steps. The higher education institutions do not have access to the content of the dining hall card, and studierendenWERK Berlin only knows the dining hall card number, but no other personal data.

How do I use the Campuscard as a library ID?

The Campuscard replaces the previous library card. You will see your library number on the front, and the barcode for your library number is printed on the back.

Yes, you can continue to do this as previously with the dining hall card.

loss / theft / defect

In the regular case, you will only receive one Campuscard free. In case of loss, theft or defect of the Campuscard, you may apply for a replacement at the Info-Service-Center. This is subject to a fee of 10,23 €.

In case of loss or theft the Campuscard should be blocked immediately in the ZEDAT-Portal. Once blocked the card can not be unblocked. You have to get a new card.

If you have credit on the card, have the card additionally blocked at the cash register of one of the canteens of the studierendenWERK. You will find a receipt for your blocked Campuscard in the ZEDAT portal. With this receipt and your newly created Campuscard, you can transfer the credit balance of the old Campuscard to the newly created card.
